Everything a fee proposal needs, module by module
Seven modules, done properly: fee structures, the proposal editor and PDF, templates, approvals, send and acceptance, budgets and customers. Audit log, AI assistance and tenant isolation run across all of them.
Fee structures and fee tables
Pricing in Feebeaver is structured data with rules, not text in a table. A principal builds the fee library once; every proposal's fee table is computed from it.
- Fee types: once-off, recurring, rate card, milestone and paired fees
- Categories, segments and bundles to organize the library
- Hourly ranges, discount rules, not to exceed caps and optional minimum monthly amounts
- Architecture and engineering: fee by phase and discipline, percentage of construction cost, caps and reimbursables
- Fee tables laid out the same way on every proposal
| Item | Basis | Fee |
|---|---|---|
| Civil, schematic design | Phase by discipline, 15% | $9,750 |
| Structural, schematic design | Phase by discipline, 15% | $7,200 |
| Civil, construction documents | Phase by discipline, 40% | $26,000 |
| Survey | Fixed fee | $6,500 |
| Construction administration | Hourly, not to exceed | $18,000 |
| Reimbursables | Allowance | $2,000 |
Proposal editor and PDF
A proposal is an ordered list of typed pages: cover, content and fee pages. You lay them out in an in-app PDF editor, so there is no separate design step and no surprise at download time.
- Cover styles, your brand palette, embedded fonts and logo
- Merge fields for customer, firm and proposal data
- Autosave, undo and redo, versioning
- Preview exactly what the client will see
- One render path for editor, client view and PDF
- Sending freezes an immutable, hashed snapshot and PDF
- Bold
- Minimal
- Split
- Blueprint
Templates and page library
Templates are made of pages. Keep a library of reusable pages, such as your firm profile, standard terms and team bios, and assemble templates from them. Brand settings apply across every template.
- Starter templates by business type
- Reusable page library
- Template versioning, so older proposals keep their layout
Approval rules and review queue
Internal approval is standard practice in a services firm, so it is standard in Feebeaver, on every plan.
- Rules based on value and other conditions decide who must approve
- A review queue for approvers, who are always free
- Approve or send back with a note; every decision is in the audit log
- Professional: 3 active rules. Firm: no cap
Send and client acceptance
Send by link or email. The client opens a web view of the proposal, accepts or declines with a click and downloads the PDF. You get an acceptance certificate page recording who, when and which version.
- Send by link or email, with notifications
- Expiry dates and revoke
- Click-to-accept or decline
- Acceptance certificate page
Budgets
Set targets for value sent and value accepted, per rep and company-wide, by month and quarter. Progress is drawn from proposal data, so nobody updates a spreadsheet.
Customers
Customer organizations and contacts, search and each customer's proposal history. Import your list from CSV or Excel in four steps. Feebeaver is not a CRM and does not try to be one.
AI assistance, with a person in charge
AI is built into the editor for two jobs: cleaning up pasted or imported text, and guided drafting of sections. It runs on Azure AI Foundry. Every suggestion is accepted or rejected by a person, and every accepted change is logged. It is not the headline, and you can ignore it.
Audit log, security and tenant isolation
Sends, approvals, acceptances, budget changes and AI changes are recorded. Every user signs in with two-factor from the first login, with optional passkeys. Your data sits in a US Azure region with a tenant ID on every record and database row-level security as a second layer.
Frequently asked questions
Which fee types does Feebeaver support?
Once-off and recurring fees, rate cards with hourly ranges, milestones, paired fees, discount rules, not to exceed caps and optional minimums, plus phase by discipline, percentage of construction cost and reimbursables for architecture and engineering firms.
Does the PDF match what I see in the editor?
Yes. The editor, the client web view and the PDF share one render path. Sending freezes an immutable snapshot and the PDF, so what the client downloads is exactly what was approved.
How do approval rules work?
You set rules such as proposals over a value need a partner's approval. When a proposal matches a rule it enters the review queue. The approver approves or sends it back, and the decision is recorded in the audit log. Professional allows 3 active rules; Firm has no cap.
Can a client sign the proposal?
The client accepts or declines online with a click, and Feebeaver issues an acceptance certificate page recording who accepted, when and which version. E-signature integrations are not included at launch.
Can we import our client list?
Yes. Upload a CSV or Excel file, match your columns to Feebeaver's fields, review the records and import.
What does the AI do?
It cleans up pasted or imported text and drafts sections with guidance, running on Azure AI Foundry. A person accepts or rejects every change, and every change is logged. AI is not required to use Feebeaver.
